Privacy Policy

This policy explains what personal information 1000039277 Ontario Inc., operating as Cloud UniFi and NetConsole Cloud ("we", "us", "our"), collects, why we collect it, who we share it with, and what you can ask us to do with it.
It covers our websites (cloudunifi.com, netconsole.cloud), our customer portal, our help site, and the hosting services described in our Terms of Service.
1. Information we collect
Account information. Your name, email address, company name if you give us one, and the login details you create. We need this to open and run your account.
Billing information. Your billing address, the country you are in, your plan and payment history, and tax identifiers where you provide them. Card numbers are entered directly into Stripe and are held by Stripe. We never see or store full card numbers.
Support information. Whatever you send us in support chats and emails, including any screenshots, logs or backups you choose to share with us.
Technical information. IP addresses, browser and device details, and log entries created when you use our websites, portal or servers, including sign-in attempts. We use these to run the service, investigate problems and protect against abuse.
Website analytics. Aggregate visit statistics from Cloudflare Web Analytics, which does not use cookies to track you across sites. We do not use Google Analytics, advertising pixels or cross-site tracking.
2. Data on the server we host for you
Your hosted server holds your own operational data: your network configuration, your devices, records of the client devices that connect to your networks, and anything you configure such as guest access. Some of that may be personal information about other people, for example your staff, your clients or their visitors.
For that data, you are in control and we act on your instructions. You decide what your system collects and how long it stays there, and you are responsible for telling the people concerned what you collect and for having a legal basis to collect it.
We access the data on your server only to run, support, back up and repair the service, when you ask us for help, or where we must to protect the service or comply with the law.
Backups of your server are covered in section 5 of this policy and section 7 of the Terms.
3. How we use information, and our legal bases
We do not sell personal information, and we do not use it for automated decisions that have legal or similarly significant effects on you.
4. Who we share it with
We use the following service providers. Each receives only what it needs.
We may also disclose information where the law requires it, to enforce our Terms, or to protect the rights and safety of our customers or ourselves. If our business is sold or reorganised, information may transfer with it, and this policy will continue to apply.
5. Where your information is stored
We operate servers in Canada, the United States, Europe (France, Germany and the United Kingdom) and Australia. We try to host you in the region you signed up from, but we do not guarantee it.
Backups of every customer's server are stored in the United States, whichever region your server is in. Some disaster-recovery copies are kept in the same region as your server.
Our billing, email, support and authentication providers operate in Canada, the United States and Europe. This means your information may be processed outside the country you live in, and may be accessible to authorities there under their laws. Where we transfer personal information out of the UK or EEA, we rely on the standard contractual clauses or equivalent safeguards offered by those providers.
6. How long we keep it
Your account and billing records are kept while you are a customer, and afterwards for as long as we need them for tax, accounting and legal purposes, which is generally six years.
Support conversations are kept while they are useful for supporting you, and are deleted or anonymised when they are not.
The data on your hosted server, and backups of it, follow section 9 of the Terms: the server is destroyed when your service ends, a short-term copy remains for up to 14 days, routine backups expire on a rolling basis of up to about 90 days, and archive copies are kept until you ask us to delete them.
7. Your rights
Wherever you live, you can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct it if it is wrong;
- delete it, including the copies described in section 6;
- give it to you in a portable format;
- stop or limit how we use it, including unsubscribing from marketing; and
- withdraw consent you previously gave.
Email support@cloudunifi.com from the address on your account. We will confirm who you are and respond within 30 days. If a deletion request covers stored backups, some copies sit in storage that prevents deletion for a fixed period after they are written, so completing it can take up to 60 days.
There are limits. We may keep information we are required to keep by law, or that is subject to a legal hold, and we will tell you when that applies.
If you are unhappy with how we handled your request, you can complain to the Office of the Privacy Commissioner of Canada, or to your local data protection authority if you are in the UK or the EEA.
8. Cookies
We use cookies and similar storage for:
- Signing in. Keeping you logged in to the customer portal.
- Support chat. Crisp sets cookies so a conversation continues across pages and visits.
- Security and performance. Cloudflare sets cookies to protect the site against abuse.
We do not use advertising or cross-site tracking cookies. You can block or delete cookies in your browser, but the portal will not work properly without the sign-in cookies.
Because there is no agreed standard for how to treat "Do Not Track" signals, we do not currently respond to them.
9. How we protect information
We use technical and organisational measures to protect information, including encryption in transit, restricted and authenticated administrative access, separate credentials for separate systems, and logging of administrative activity.
Customer systems hosted on our server nodes are stored on encrypted storage, using AES-256 encryption at rest, and each customer's system runs in its own isolated instance rather than a shared one. Older standalone servers that predate this are being migrated onto that infrastructure.
No system is perfectly secure. If a breach affects your personal information, we will notify you and the relevant regulator where the law requires it.
10. Children
Our services are sold to businesses and to adults. They are not directed at children, and we do not knowingly collect personal information from children.
11. Changes to this policy
We may update this policy. The current version is always published at help.cloudunifi.com/privacy/, with the date it was last updated. If a change is material, we will tell you by email or through your account.
